How Often Should You Send Clients KPI Reports?

There's no single right cadence — here's how to actually pick one, and how to tell if you got it wrong.

"Monthly" is the default answer most people give without thinking about it, mostly because it matches the billing cycle. That's a reasonable starting point, but cadence is really about two different things: how fast the client's situation changes, and how much they need to see it change in real time.

Weekly

Best for: active campaigns, launches, anything time-sensitive

If you're running paid ads, a product launch, or anything where a bad number this week should change what happens next week, monthly reporting is too slow to be useful — by the time the client sees the problem, you've already spent another three weeks on the same mistake.

Monthly

Best for: steady-state accounts, ongoing retainers, SEO/content work

The default for a reason — most metrics don't move meaningfully week to week, and a monthly cadence matches how most clients actually think about progress and budget. Weekly reporting on a slow-moving account just creates noise and makes small, meaningless fluctuations look like something to worry about.

Quarterly

Best for: strategic/high-level clients, board-facing summaries

Useful as a layer on top of, not instead of, more frequent reporting — a quarterly view is where you step back and show the trend line rather than the month-to-month noise. This is often the report a client's boss sees, even if the client themselves gets something more frequent.

A decent test: if you wouldn't change anything based on this week's number compared to last week's, you don't need weekly reporting for that metric. Cadence should match how often the number is actionable, not how often it's technically available.

The mismatch that actually causes problems

The real issue isn't picking "wrong" — it's picking once and never revisiting it. A client who was on a weekly cadence during a launch often doesn't need weekly reports six months later once things stabilize, but the cadence just stays because nobody thought to change it. Worth asking, per client, every few months: is this still the right frequency, or are we both just used to it?
